Front Desk Receptionist

    40 Hours per Week, M-F 10:30 AM-6:30 PM

    We are a small woman owned and established Pediatric Healthcare Services Company and we are looking for an addition to our incredible administrative team.

    Front Desk Medical Receptionist responsibilities:

    • Greet patients upon arrival , take their temperature and ask screening questions
    • Provide patients with intake and new patient forms as well as copies of our office policies and legally required documents when required
    • Process payments from patients for co-pays and uninsured visits
    • Cancel and reschedule appointments for patients based on availability of therapist using EMR system (CareTracker)
    • Call patients to remind them of upcoming appointments and to help them schedule testing for off-site services
    • Answer main phone line and either direct the caller to the appropriate party or handle the caller’s needs yourself
    • Provide patients with support and guidance as needed
    • Assist the Scheduler with processing tasks
    • Additional clerical office work when appropriate

    REQUIREMENTS:

    • Associate or Bachelor’s degree preferred
    • 2+ year’s experience in a medical office or administration
    • Familiarity with EMR systems
    • Ability to handle a fast-paced environment and prioritize tasks based on importance
    • Excellent communication and problem solving skills
    • Familiarity with Microsoft Office
    • Team Player, including willingness to fill in occasionally for other receptionist at another location, day or hours.

     

    Clinic Assistant

    The Clinic Assistant performs clinical and administrative duties essential to the upkeep of the OT and Speech rooms, waiting room and office area, including stocking of supplies & equipment, cleaning, and proper maintenance. This position report to the Director of HR & Admin., and for specific clinic duties works closely with the Clinical Director and senior therapists.

    Job Responsibilities:

    • General daily cleaning of all clinic areas including waiting room using appropriate protocols. Tracking cleaning supplies and integrity of the tools washed checking for worn or broken pieces/ replacing those items that need to be replaced with written permission from directors.
    • Tracking inventory and request ordering of and obtaining/restocking supplies such as cleaning supplies, candy/ foods, thera-band, thera-tubing, small office supplies, arts and crafts materials which total less than $100.00. Shopping for Feeding Program/social skills snacks as need under the direction of the Director of HR & Admin and Clinical Directors
    • Requesting the ordering of equipment/ materials as directed by Directors
    • Provide Director of HR & Admin with a copy of all invoices so they can track spending,
    • Scheduling/ overseeing ball pit/ rug cleaning/ small cleaning projects
    • Scheduling/overseeing laundry cleaning for covers and other items as directed by Director of HR & Admin or Clinical Director
    • Track maintenance of larger equipment/liaison for outside equipment maintenance contractors
    • Perform light maintenance work, including but not limited to installing shelves, assembling equipment, moving furniture and equipment, tightening bolts on equipment

    Qualifications:

    Must have a High School degree or equivalent. College degree is highly preferred. 1-3 years of clinical or health-related experience Must have excellent attention to detail.

    Strong organizational skills required.

    Requires a demonstrated ability to maintain confidentiality.

    Must have the ability to multitask and prioritize competing deadlines. Knowledge of medical terminology a plus.
